Creating your First E-signature for a PDF document


Upload your Document


  1. Go to Contacts

  2. Click on the Contact you want to request a document signature from.

  3. Once on the Contact Page, click on Actions (1) and select Upload Files & Forms (2)

  4. Select one of the three Document Types (1): File, Forms or Package.
    Since this is the PDF tutorial, ensure File is selected.

  5. Click on Choose a file... and upload the document from your computer.

  6. In the Upload Documents window, you can link the file to a specific Portfolio or Security process, store it in a specific folder (2), and share it on the portal or mobile application. You can also set a Package Name, Description, Expiration Date, and Tags related to the document.

  7. Enable the Document Visibility by selecting "Yes" for the Show on Client Portal (3) option.
    If this option is not enabled, the document won't be available for signing on the client portal.

  8. You can also choose to notify your Contact by Email after the document is uploaded.

  9. Click Upload (4) to complete the upload process.



Request the PDF E-Signature


  1. Go to the Documents (1) tab on the left. You will see the newly uploaded document.
  2. Click on the three dots on the right of the document and select Request for e-signature (3).
  1. The Request E-Signature window will open. You can choose where the e-signature can be collected from:
    • Portal with Login (1) : The contact must sign the document exclusively within the Portal.
    • Public Link : The contact can sign the document via a Public Link, which is useful if they are not using the InvestGlass portal or mobile application. This method sends an email with the option to sign without needing to share it on the client portal during the upload.

  1. Optionally, set a Reminder date (2) and Reminder time to prompt the contact to sign the document at a specific time.
  2. If needed, Enforce 2FA (3) for the Document, requiring the contact to complete a two-factor authentication before signing. InvestGlass will send a code to validate the signature process.
  3. Enable Notify the Contact by Email (4) to alert them of the pending signature. It's recommended to set this option to Yes by default.
  4. You can also set up the Relationship Manager Notification by enabling Notify RM1(5), which is useful when triggering the signature on behalf of a colleague.
  5. Once all options are set, click Request e-signature to start the process.


Example of E-Signature

Here's an example of a Public Link E-Signature, which emails the contact to sign the document.

Remember: This email template can be customized in the Communication Email template settings.

Alternatively, here's an example of a Portal E-Signature, accessible directly in the Contact Portal.


E-Signature from the Contact

  1. After clicking on the link, the contact will be redirected to a page where they must accept your company's terms of service. The contact must click Agree and continue.
  1. The contract will be visible. Once reviewed, the contact must click on Create a signature.
  1. The E-Signature will be pre-filled if the contact’s first and last names are in InvestGlass CRM.
    The user can override the signature with a drawing or upload it as an image.
  1. Once the E-Signature is ready, the contact clicks Adopt and sign.
  2. In the final step, the E-Signature is embedded in a yellow box. The contact must position the box on the document and click the final Sign button to complete the signing process.

E-Signature History

You can monitor all E-Signatures of the contact by checking the E-Signature History.

  1. On the Contact page, go to the Document section. To view the E-Signature process of each document, click on the three dots on the right of the document, then select History for e-signature.
  1. You can view the E-Signature Status, see who has signed and who has not yet signed, and check if the process is completed.
    • Waiting for others : The document has not yet been signed.
    • Completed : The document has been signed by the Contact.
  1. Once the process is complete, the E-Signature Status will display as Completed.
