Automation Process
As the name indicates, automation is a process that makes an action automatically whenever a signal is given (ranging from the reception of a form to the creation of a contact).
In order to create an automation process, you have to follow My account – Automation.
When on the automation rules page, you can see the existing automation rules linked to your InvestGlass account where you can delete the ones you dont want anymore. In order to create a new rule click on the new rule button on the right side.
There are five stages in creating an automation process:
In the first stage you have to name your rule as well as define which API is used (Account, Contact, Portfolio, or Form). You also have the opportunity to describe the automation rule.
In the second stage you have to choose between executing this rule on a record action or on a specific date/time.
1) On a record action you you can select when the API ( account, contact, portfolio, or form) from stage 1 is:
1) created
2) created or edited
3) edited
4) field updated
5) deleted
2) On a specific date/time, you have to fill in the time when you want the action to occur (e.g. X days, hours, or minutes) after, on, or before a certain signal.
You also have the choice of setting a specific time, a recurrence, and to enter tags.
In the third stage you can select what fields you would like to apply the rule:
1) Fields matching certain conditions (similar to filtering) in order for the automation to be applied to specific records.
2) All fields in order to be applied to every record.
In the fourth stage you can choose which method of communication (or action) is demanded, i.e. send mail, create record, update record, notify, trigger an automatic rule, or create a folder. In other words, this is what is the automation you want to perform if stage 2 options occur.
Additionally, depending on the choice made in stage 1, more or less options may be available such as demanding a task or triggering an approval rule (see next section on approval rule).
In the fifth stage, depending on stage 4, in this stage you can give additional information. For example if you have selected send mail in stage 4, then in stage 5 you can write exactly what you want to this email. Another example would be to create a record and in stage 5 you will be demanded details such as the contact information and accounts.
